AI audits & automation for founder-led SMBs

Automation that gives your team its week back.

How the work happens now
How it should run

Ottermate finds the manual work hiding in your operations, prices it in hours and money, and builds the systems that do it instead.

30 minutes. If automation isn't the answer, we'll say so.

1,000+ hours
a year, if five people each lose an hour a day to manual work. That is arithmetic, not a promise.
Fixed price
every engagement, sized to your team. No hourly meters, no scope creep.
30 minutes
from intro call to a straight answer on whether automation makes sense for you.

What we do

From audit to running system.

Operations audit

Structured interviews across your team show where the hours actually go, not where everyone assumes they go.

ROI roadmap

Every manual process priced in hours and money, ranked by payback. Conservative numbers you can defend.

Build & integration

Working automations on your real processes, built end to end. No slide decks, no handoffs to a dev shop.

Handover & training

Documented systems your team owns and runs. Nothing depends on us staying in the loop.

How it works

Three steps, no detours.

  1. Map

Short interviews, real workflows. No software to install.

  2. Decide

A conservative roadmap: what to automate, what to skip, and what each fix is worth.

  3. Build

Systems tested on your real processes, shipped with documentation and a working handover.

Scope is settled on the intro call, before anything starts, and it does not move afterwards.

What we look for

The hours hide in the same few places.

Order handling

Orders land in an inbox, get retyped into the system, then confirmed by hand. The same order touched three times before anyone does real work on it.

Wholesale & distribution
Quote assembly

Prices from one spreadsheet, terms from another, pasted into a template and then chased for approval. The quote goes out next week instead of today.

Engineering services
Monthly reporting

Exports from three systems, reconciled by hand, reformatted for the board. Days of assembly for numbers the systems already hold.

Professional services

An audit works out which of these is costing you most, and what it is worth fixing first.

Company

What you can hold us to.

We map how the work actually happens, price the manual parts in hours and money, and build the systems that handle them instead. The numbers in the roadmap stay on the conservative side, because you should be able to defend them to your own team without caveats.

We don't sell software and we don't take referral fees, so the roadmap has no reason to recommend anything you don't need. Often the fix uses tools you already pay for. And if automation isn't worth it yet, that is what the report says, with the arithmetic behind it.

Whatever we recommend, we build ourselves, document, and hand over. Nothing depends on us staying in the loop.

FAQ

Fair questions.

We're only 15 people. Is this overkill?

The opposite. Small teams feel manual work the most. One person losing a day a week is about ten working weeks a year, and on a team your size there is nobody spare to absorb it.

Do we need to buy a bunch of AI tools?

No. We map how your operations actually run, then decide what's worth building. Often the fix uses tools you already pay for. We don't sell software and we don't take referral fees.

How much of our team's time does it take?

Short structured interviews, usually 30 to 45 minutes per person, once. The point is to stop wasting your team's time, not add to it.

How long before we see anything?

Two to four weeks from kick-off to a roadmap you can act on, depending on the size of the team and how many processes are in scope. How long the build takes after that depends on what the roadmap says is worth building.

What if you don't find anything worth automating?

Then the roadmap says so, with the numbers to back it up. A clear "not worth it yet" is a useful result, and it's cheaper than guessing.

Who builds it, and what happens when it breaks?

We build it, we document it, and every automation ships with a handover so your team owns it. Nothing depends on us staying in the loop forever.

What does it cost?

Every engagement is fixed-price, with no hourly meters. The exact number depends on team size and scope, and we settle it on the intro call.

What's eating your team's week?

A free 30-minute call: you tell us where the hours go, we tell you straight whether automation makes sense.
